Registration and Agreement Forms

This handout describes how to license and acquire the SPSS software package for IBM PCs and IBM compatibles. University of Florida (UF) full-time employees can use one of the forms at the back of this handout to get a registered copy of SPSS for their microcomputer.
What is SPSS

SPSS refers to a group of licensed, copyrighted software products from SPSS, Inc.. The base system for SPSS is a powerful software package for microcomputer data management and analysis. The Advanced Statistics and Professional Statistics software are add-on enhancements.

Who can have a copy

The University of Florida has licensed 200 copies of SPSS for use by university employees on computers owned or leased by the UF or its subsidiaries. These are called "university copies." SPSS, Inc. allows employees of licensed institutions to have a copy of SPSS for use on their own computers at home. Such copies are referred to as "home-use" copies and are discussed in further detail in the section titled Home-use copies.

This license covers the University of Florida only, not the Northeast Regional Data Center (NERDC). Non-UF users of NERDC must take out their own licenses through SPSS, Inc.

What hardware is needed

SPSS Version 6.1.4s for Windows 3.11
SPSS software for Windows runs on IBMs, PC/ATs, PS/2s, or IBM compatible machines with a 80386 or higher Intel chip. It requires IBM PC-DOS or MS-DOS (version 3.1 or later) and Windows (3.1 or later). SPSS, Inc. makes no guarantee that its products will work on non-IBM computers.

SPSS, Inc. recommends 8MB of RAM. A hard disk with at least 16MB of disk space is required to install the Base system and 1.6MB of additional disk space for tutorials. A 10MB swap file is required for installation. A math coprocessor is strongly recommended for significant graphics work. At least one 3.5" high density (1.44MB) disk drive is needed. Also, a graphics adapter with 640 x 480 resolution (VGA) or higher is required.

The Department SPSS contact person

Before a copy of SPSS can be authorized for a department, that department must designate an SPSS contact person. This should be someone who uses SPSS and can help others in the department install and use it. The contact person will get the first copy of SPSS on a set of master diskettes and will be the liaison between the department and the CIRCA SPSS Support Group.

How to Get a copy of SPSS

To get a copy of SPSS software for your microcomputer, you must register it as part of the University's SPSS software license. You do this by filling out one of the forms at the back of this handout. Mail or fax the registration form(s) to the CIRCA SPSS Support Group, E520 CSE, (FAX #: 392-3760). You may reproduce these forms. There are some restrictions:

• All charges must be paid from the same account. If the charges are paid from different accounts, fill out separate forms for each account.

If you chose to borrow the diskettes or CD-ROM, you must fill out the SPSS Disk Loan Form later in this handout. There is no charge for borrowing the software.


Network Registration and Agreement Form for SPSS. When SPSS software is used on networked computers, the network server must be registered and must indicate the maximum number of simultaneous users. There must be a method for limiting the maximum number of simultaneous users.

Single User Registration and Agreement Form for SPSS. This form is for an individual who will install SPSS software on his local hard disk.

On the request form, indicate whether or not you want to receive a set of diskettes containing the software to be loaded onto your hard disk. If you do not want diskettes, the CIRCA SPSS Support Group will authorize the use of your department's master set of SPSS diskettes to install the software on your computer. Show the registration form to your SPSS contact person and borrow the master set.

People who have registered for the SPSS software will receive a notice through campus mail for each new version. The notice will contain a request form for the new diskettes and will give the price of the diskettes. You may also borrow your department's master set of diskettes to install the new version of the software. We strongly recommend that the current version of each SPSS product be installed on each registered computer.

License obligations

SPSS for Microcomputer software products are licensed and copyrighted by SPSS, Inc. The terms of the license impose significant management responsibilities on the university and the individual users of SPSS. You must sign a statement that says you will not violate the SPSS license agreement. This statement is on the forms at the back of this handout. Others who have access to your copy of the SPSS software should also be informed of the terms of this agreement. The terms of the agreement and SPSS license require the following:

1.EMPLOYEE acknowledges that these products are copyrighted and that SPSS, Inc. retains all title and ownership rights to the products.

2.EMPLOYEE agrees not to copy or permit others to copy the products, in whole or in part. All diskettes containing SPSS software products must originate from the CIRCA SPSS Support Group and must have a serial number.

3.EMPLOYEE agrees to use the products under this agreement only on a computer which is 1) owned or leased by the University of Florida or 2) owned by the EMPLOYEE. EMPLOYEE further agrees that the products must remain under EMPLOYEE's control, and that resale or other transfer is explicitly prohibited.

4.EMPLOYEE agrees to use the products for EMPLOYEE's or University of Florida's own data processing requirements, and not for commercial time sharing, rental or service bureau use.

5.EMPLOYEE agrees not to create, or attempt to create, or permit or help others to create, the source code from the products furnished under this agreement. EMPLOYEE agrees that he will not reverse-engineer or decompile the products.

6.Should the EMPLOYEE remove the computer(s) on which the products are used under this agreement from the location specified on the agreement form, EMPLOYEE agrees to notify the CIRCA SPSS Support Group promptly of the new location.

7.Upon the EMPLOYEE's termination, or if advised by the CIRCA SPSS Support Group that the site license with SPSS, Inc. has been terminated, EMPLOYEE agrees to return to the CIRCA SPSS Support Group or destroy at once any and all copies in EMPLOYEE's possession, and to forward written notice to the CIRCA SPSS Support Group that all programs and materials containing the products have been destroyed or deleted from all computer libraries and storage and memory devices, and are no longer in use or usable by the EMPLOYEE.

The license is renewed annually. The license is effective for 12 months lasting from December 1st to November 30th of the following year. For example, if a license was purchased on or after December 1, 1996, it is valid until November 30, 1997. Changes in the location or eligibility of the computer or in the person responsible for the SPSS software on the computer should be indicated at renewal time. When you no longer want to run SPSS software on your computer, you or your department SPSS contact person should notify the CIRCA SPSS Support Group, 392-2007.

Anyone who has access to SPSS software should be informed of the license and copyright on this software. An easy way to do this is to post a sign near the computer. An example of such a sign is provided on the last page of this handout.

Payment procedure for SPSS

To pay for the license & software media, you need to open an ID requisition with CIRCA. Use the following information:

Ask your department fiscal administrator to set up the ID requisition for you then mail a copy of the processed ID Requisition and Encumbrance form with the SPSS Registration form(s) to the CIRCA SPSS Support Group, E520 CSE. The forms can also be faxed to the CIRCA SPSS Support Group, (FAX #: 392-3760). Please describe on the ID Requisition and Encumbrance form that the requisition is for purchasing leases for SPSS and/or diskettes.

Home-use copies

For each registered university copy of SPSS software, there may be one home-use copy. The home-use copy must also be registered and must be linked to a registrered university copy of the SPSS product. The home-use copy and its associated university copy do not have to be registered by the same person. However, the home-use copy must be registered by a full-time UF employee and is permitted as long as the associated university copy remains registered and the person remains a full-time employee of the University of Florida.

There are no fees for home-use copies. You may not purchase installation diskette sets for home-use copies. The installation diskettes that were used to install the associated university copy of the software should be used to install the home-use copy.

Complete the Home-Use Registration Form and the Agreement Form for SPSS, at the back of this handout. When registering a home-use copy, you must list the SPSS serial number of a registered university copy of the SPSS software. This SPSS serial number is on the registration form of the registered university copy. When registering a university copy and home-use copy at the same time, mail or fax both the registration and home-use form to the CIRCA SPSS Support Group, E520 CSE, (FAX #: 392-3760). We will fill out the serial number for you.

Installation of SPSS software

Each set of diskettes or CD-ROM will come with instructions for installing the software on an IBM personal computer. If you use your department's master copy of the software, you will receive these instructions from your departmental SPSS contact person. If you have problems with the installation, talk to your SPSS contact person. Some departments might have someone who will install the software for you.

The departmental SPSS contact person will answer questions about the current version of each SPSS product. Older versions are not supported. We strongly recommend that each new version of SPSS software be installed as it becomes available.

General statistical help is available from the UF Computing Help Desk, E520 CSE. Call 392-HELP to find out when the statistical consultant is on duty.

SPSS system bugs should be reported to the CIRCA SPSS Support Group, E520 CSE (Phone: 392-2007) or email to spss@circa.ufl.edu. Information about your computer system might be needed to solve your SPSS problem. You should be prepared to give the following information:

Call the CIRCA SPSS Support Group at 392-2007 for the current department contact person.

Fill out the appropriate form(s) at the back of this handout. Make copies if needed.

Set up an ID requisition.
