E-mail Setup Instructions for Microsoft Outlook

This article will teach you how to setup your Microsoft Outlook to receive your Gatorlink email. The same set of instructions applies to most previous versions of Outlook.
  1. To setup your Gatorlink Webmail service with Outlook 2003, first click on the icon that should be located on your desktop that looks like this:


  2. Click on the Tools button on the menu bar. Select E-Mail Accounts.


  3. The “E-Mail Accounts” wizard will appear. Click on Add a new e-mail account. Push Next.


  4. The next screen allows you to select a server type for you to receive your email. You can either choose POP3 or IMAP with the UF Webmail service. The POP3 option allows you to either have your email deleted from the server once you delete it on Outlook or leave your mail on the server. The IMAP option only allows you to leave your mail on the server, even if you delete it on Outlook. Make your selection and then push Next.


  5. The next screen will ask you for some information. Under “User Information” you will be asked for your name and email address. Type in your full name and your email address @ufl.edu. Under “Login Information” you will be asked for a user name and password. Enter your Gatorlink username and password in these fields. Follow the following instructions for the “Server Information” section:


    • In the Mail Server (Incoming) field, enter the name of your IMAP mail server.
      For GatorLink users: imap.ufl.edu
      For Grove users: grove.ufl.edu
      For NERSP users: imap.cns.ufl.edu
      For other accounts, verify this setting with your e-mail server administrator

    • In the Login Name field: Enter your email account ID (username). In our example , Gator Joe's Gatorlink ID is: gatorjoe

    • Under the More Settings Button, select the Advanced Tab, and for the Outgoing or SMTP Server type in 587 and set up TLS encryption as well.
       
    • In the SMTP Server (Outgoing) field, enter the name of your SMTP mail server.
       
      • If you are checking a University of Florida email account, enter:
        smtp.ufl.edu   Check the Allow Authentication box.
         
    Push Next when you are done.
  6. On this last screen all you have to do is hit “Finish” and your email should be set up!
